Treatment of personal data
1. Introduction
This page shows the privacy rules relating to the website www.ciaolapo.it, the website of the APS CiaoLapo ETS Association. These rules are explicitly accepted at the time of registration and the permanence of a user’s registration on the site implies in any case their unconditional acceptance.
The Association pays great attention to protecting the confidentiality and privacy of visitors to its website; nevertheless, we inform you that, in specific parts of the site, information on how to connect visitors may be automatically acquired in order to provide the best performance in viewing the site.
This primarily includes information about the type of browser used, the type of operating system, and the name of the visitor’s Internet service provider. It also includes information—exclusively in aggregate form and not individually identifiable—on the number of visitors and related statistics. Email addresses and other personal data will be collected solely and exclusively if intentionally provided by the visitor, and even in such cases, they will not be used for any purpose other than the specific one for which they were provided. The website does not collect personal data, except as described in section 3.5 regarding the eIRENE virtual assistant. No sensitive data, nor any medical information posted by users in the forum, will be disclosed to third parties. The CiaoLapo ETS Association reserves the right to disclose data entered by registered users or visitors to the authorities in the event of a suspected crime.
If you visit external websites via links on this site, we recommend that you read the privacy policies posted on those sites. CiaoLapo ETS is not responsible for the content or activities of websites accessed through external links.
2. Acquisition and storage of data
The processing of personal data is based on the users’ explicit consent, as well as on compliance with legal obligations and the performance of tasks in the public interest in accordance with the association’s statutory purposes.
- The registration process for the APS CiaoLapo ETS forum takes place on a dedicated portal and requires the personal data specified by current laws pursuant to Art. 13 of Legislative Decree No. 196/2003 and the European General Data Protection Regulation (GDPR or 2016/679), including your first and last name, a valid email address, a user ID, and a password. Providing additional information is at the user’s discretion. Users are asked to make a note of their username, email address, and all other information they provide at the time of registration or thereafter. Sharing one’s website login credentials with others is not permitted; doing so is equivalent to creating a fake user account, as it does not ensure transparency in communication among users. Violation of this rule constitutes grounds for the user’s removal from the site. The data entered during registration is stored on a secure, third-party paid service that manages the forum platform (WebSiteToolbox). This data is stored indefinitely in compliance with current security and privacy regulations by the service provider, to whom you should refer for legal information.
- The process for registering as a member of APS CiaoLapo ETS requires following the procedure outlined on the dedicated portal, where—in accordance with current regulations (Enabling Act No. 106 of 2016, containing the principles of the Third Sector reform, and the delegated legislation, in particular Legislative Decree No. 117 of 2017, or the Third Sector Code), you must enter personal information (first name, last name, tax identification number, date and place of birth, and residential address) required for registration as a member in the Single Registry of the Third Sector (RUNTS). This registration is not linked to the use of the CiaoLapo website, forum, or other online resources. The data entered on the portal for membership registration is used in accordance with the law solely for tax purposes and is securely managed by a paid external service; please refer to that service for legal information. The President and Legal Representative (or her delegates) has access to this personal data, which is retained indefinitely and is not used for any purpose other than the administrative purposes provided for by the Third Sector Code.
3. Use of data
None of the personal data collected will be used or disclosed, unless there are violations of the rules or suspected criminal activity; in such cases, the relevant information will be provided to the Postal Police, and all legal actions deemed necessary will be taken. Users who fail to comply with the rules, engage in conduct deemed contrary to the guiding principles of CiaoLapo ETS, or violate common standards of civil coexistence may also be suspended or removed by the administrators at any time without prior notice or justification. Medical information shared via private messages and/or emails with forum moderators (doctors, psychologists, midwives, etc.) is visible only to the professional who is the recipient of the message and is considered subject to professional confidentiality. This information may be disclosed to the competent authorities in the event of a suspicion of a crime.
3.2 Social networks, forums, chats, private messages and discussion groups
Posts on the forum are generally public and accessible even to unregistered users and search engines (with the exception of certain sections). As for the chats and social features within CiaoLapo, the conversations that take place there are stored only temporarily. Administrators have access to chat content and social network logs for a few weeks after they are posted; the data is periodically reviewed to ensure that these tools are used in accordance with the site’s rules. Chat logs and social network status updates are automatically overwritten by the system within a few weeks of being posted and are generally not retained further by the administration, except in special cases (such as suspected violations of the rules). In contrast, logs of groups and online meetings are retained indefinitely, and their contents (fully anonymized) may be reused and disseminated (including at conferences, courses, events, in publications, etc.) for the Association’s statutory purposes. Private messages are not normally read or monitored by administrators. However, they are stored in the WebsiteToolbox platform’s database indefinitely and may be accessed by administrators if necessary. As for the forum, all data posted there by users is freely visible on the internet and is published solely at the users’ own risk.
3.3 Privacy and use of personal stories
All content posted on the forum, in the chat, on social media, in user profiles, or anywhere else on the site remains the intellectual property of the authors who posted it, and the APS CiaoLapo ETS Association neither permits nor endorses its publication, copying, or transcription in any form or on any medium (digital, printed, virtual, etc.) by third parties without the consent of the rights holder. In the event of a violation of the rules and/or the suspension and/or deletion of a user, the user loses all rights to any data posted on the site; which will become the property of the Association, which may dispose of them in any manner permitted by law. The Association has the right to use stories, forum posts, chat logs, or social network content by anonymizing personal data, in order to pursue its statutory purposes. By registering on the site, you consent to the APS CiaoLapo ETS Association using excerpts from texts contained in the forum, chat, guestbook, emails, in self-help groups (online or in person), and in any other form of communication available for statutory purposes (promotion of perinatal health, outreach, scientific research, staff training, individual or group therapy, etc.)—always in anonymized form and on a nonprofit basis. Therefore, please do not post any text, data, information, stories, or compositions on the site that you do not wish to be used for the aforementioned purposes and in the aforementioned manner. If at any time you realize that you have posted personal information on the APS CiaoLapo ETS platforms that you did not intend to share (or even if you change your mind), you may request its removal by writing to info@ciaolapo.it. The CiaoLapo staff will remove the requested content as soon as possible.
3.4 Data transfer to third parties
Personal data will not be transferred to third parties except for reasons provided for by law, such as in cases of criminal offenses, and except as described in section 3.5 regarding the eIRENE virtual assistant. The data will be accessible only to the President and Legal Representative of CiaoLapo, or their delegates. Data used for statutory purposes, such as scientific research in collaboration with the PeaRL Laboratory at the University of Florence, will be disclosed only in anonymized form. The key used to link the anonymized data to the actual user will be stored on a secure external platform (WebsiteToolbox), accessible only to the forum administrator (legal representative).
3.5 eIRENE, the virtual assistant
The website currently features eIRENE on a trial basis: a non-human virtual assistant powered by artificial intelligence that provides information and initial guidance on grief during pregnancy and after childbirth, based on materials from CiaoLapo. This is not a healthcare or emergency service. The service is provided by Chatbase Inc. (United States), which processes data on behalf of CiaoLapo under the standard contractual clauses approved by the European Commission and uses artificial intelligence providers based in the United States (list of providers).
Conversations are stored on Chatbase for no more than twelve months and can only be read by the President of CiaoLapo and individuals authorized by her, in order to review responses and improve the service. We ask that you do not include any personally identifiable information in the chat. To request the deletion of a conversation, please email info@ciaolapo.it, specifying the date and approximate time.

If at any time a user does not agree with these terms, they are asked to delete their account from the site, as continued use of the site will be considered acceptance of these terms.
